What to Bring to Your First Tradeshow: The Real Packing List
Forget the obvious stuff (booth, business cards, lanyard). Here's the list of things experienced exhibitors always have on hand that first-timers always forget.
Tools and setup gear
Multi-tool with screwdriver heads (Phillips and flathead). Allen-key set in metric and imperial. Wire cutters and small pliers. Roll of gaffer tape (NOT duct tape — gaffer leaves no residue). Several rolls of double-sided foam mounting tape. Extension cords (at least one 25ft 16-gauge orange). Power strip with surge protection. Velcro strips for cable management. A small step stool for reaching the top of the backwall.
Backup electronics and AV
HDMI cables in multiple lengths (3ft, 6ft, 10ft). USB-C cables and USB-A-to-USB-C adapters. A portable battery pack for tablets and phones. Spare laptop charger (if running demos from a laptop). A small extension HDMI extender for monitor distance. Phone tripod (for booth photography and any livestream content). At least two spare batteries for any wireless mic or remote.
Booth-day comfort
Comfortable closed-toe shoes — your feet will hurt within four hours regardless. Compression socks or insoles. A water bottle (most venues sell water for $5 per bottle on the show floor). Granola bars or other quick fuel. Mints and travel toothbrush. A wrinkle-release spray for your shirt (you'll need it). Hand sanitizer. Tissues. A small first-aid kit with bandages for the inevitable paper cuts and hardware nicks during setup.
Paperwork and contingency
Printed copies of every important document — badge confirmation, freight bill of lading, electrical receipt, hotel reservation, return travel itinerary. Multiple printed copies of your business card to leave at neighbor booths. A small notebook and pen for jotting follow-ups. A printed list of every contractor and vendor contact you might need (booth vendor, show GC, hotel, airline, customs broker if applicable).
